What you do not delegate

Goes to a person

  • Pricing exceptions and refunds you have not written a rule for
  • Clinical, legal, or financial sign-off
  • Regulated language: anything that reads as medical, legal, or financial advice goes to a person
  • Anything without a stop condition and an escalation name

These go to a person by design, not by exception. If you want the agent to decide one of them later, that is a new line in the letter, with a rule written down first.

Every Build-a-Bot engagement is a delegation letter, not a feature list. If it is not in the letter, it is not in the bot. More tasks means a change order or a second bot.

Do not delegate

  • Discounting below the published rate card
  • Promising arrival windows the calendar cannot keep
  • Replying to complaints that name damage or injury
The letter is the contract. If it is not in the letter, it is not in the bot.

How a project runs

Scope, build, integrate, hand over, stabilise

    Tasks in, tasks out, the tools involved, and the systems it touches. You get one document: what gets built, a timeline with real dates, and one fixed price.

  2. Build

    Work lands in stages, and every stage comes off the floor as software you can use. You see progress the week it happens rather than at a reveal.

  3. Integrate

    Your systems, your records, your business rules. A pilot against real data first, then production, with exceptions routed to the person the scope names.

  4. Hand over

    You own the spec and the code and configuration. Nothing is locked to us, and nothing about the handover depends on keeping us on retainer.

  5. Stabilise

    30 days included. We watch it run in production, fix what real traffic finds, and tune the stop rules before we step back.
